Paramount Liquor is sending a new invoice format & I'm afraid that it's not one that we can extract from perfectly. This is because the supplier uses a 'case/bottle' qty format, for example 0/1 is equivalent to 0 cases/1 bottle and they also use just a single number when selling by the case, for eg 3 which means 3 cases. This makes it impossible to extract them all correctly.
Our new map (# 01-87692) can extract all the lines, but the quantity for cases needs to be edited from the InTray.
We are hoping to get Paramount to change or revert to their other format so please help by putting pressure on them - perhaps by calling or emailing them?
What editing is required?
It will help you understand what's needing to be edited if I explain what the map extracts.
The map is extracting the quantities on the right side of the quantity column (which is the bottles). So anything that has just a qty on the right side will be correct. And because the left side (the cartons) is not being extracted, any line that has a carton qty & no bottle qty - for eg 2/0 - will need editing. I was able to design the map to still extract those lines, but they will have a quantity of one, so from the InTray after the map is applied, you will need to look at the invoice and any lines that have a qty on the left side will need to be changed to what the invoice shows, but don't type in what the case qty is, because you need the unit qty (this is because the unit price is extracted). What you have to do is look at the description & it will show you how many units are in a carton, then multiply this by the qty in the left side of the column. Here is an example I've also shown in the smaller screenshot below:
Bombay Sapphire: 700ml SIZE: 6/700ml QTY: 2/0
Because you want to get the unit qty use this sum: 6 x 2 = 12
Then type 12 into that line's qty box
The other problem is when they use the single number in the qty column - as shown in screenshot #2 below these are in the black boxes.
With a normal map these lines will not get extracted because there is nothing in the right side like the other lines (remember the map is only extracting the right hand side). So just like the lines that have a qty on the left, to save you having to manually enter those lines, these will also extract with a qty of 1 by default, but for these ones you just enter the number it shows (you don't need to multiply the case qty).
For eg the line in the screenshot #2: Apple Thief Granny Smith Cider, you would just enter 3 in the qty box
Deleting lines:
Another thing to mention is that seeing the specialised map is designed to extract the products that have no quantity, it will also extract the products that have a proper qty of zero and other lines that we don't need extracted.
Screenshots 3 & 4 below show examples that would need to be deleted;
#3 is a product that was order & not delivered
#4 is the WET & GST lines which we do not want to extract
