The filing cabinet allows you to search for a variety of different document types, in a variety of different places within invitbox.
When you go to the Filing Cabinet tab, on the right hand-side of your screen, to the top of panel 3, you will be asked to choose what type of filing cabinet search you would like to perform.
Bills and documents are stored in your filing cabinet for 7 years. So below, when we say "have ever been", we mean "within the last 7 years"
It should be noted that a Filing Cabinet search does not include anything in your Unknowns or Manual Entry tab because those documents have not yet been associated with a supplier.
1 All invoices - all bills that have ever been exported from invitbox, plus bills that are currently in invitbox
2 Exported invoices - all bills that have ever ben exported from invitbox.
3 Invoices not yet Exported - bills in invitbox
4 Exported batches - a summary (and detail) of all the batches of bills that have ever been exported from invitbox.
1, 2 and 3 (All, Exported & not-yet Exported)
You can see that you can choose to include Trash within your search results, and you can also choose to show the Approvers who have approved bills on their journey.
The search result set is presented to you in panel 1.
4 Exported Batches
Exported batches allows you to see previous batch exports to your accountancy software and, should you choose to do so, re-export them. Again, the result set will be presented to you in panel 1.
Again, the result set will be presented in panel 1. From panel 1 you can select a statement which will result in a result set being displayed below it. That result set is the list of bills (and credit notes) from that supplier that exist within invitbox. The total of the bills will be presented to you at the bottom of the panel, allowing you to cross check the total on the statement against what is in invitbox.
You can change the date range result set by adjusting the date range in panel 3.
Exporting a Summary of the Filing Cabinet search results
If you wish, you can get a summary of the filing cabinet search results by clicking the Export to file button underneath panel 1.
