Exporting bills to QBO
From the Signed Off tab in invitbox, press the Export to QuickBooks Online button.
Any bills that are in your Signed Off tab will be exported to QBO. If you do not want for a bill to be exported you should return it to the previous tab before exporting bills in your Signed Off tab to QBO.
Also, please note that the figures that will be exported to QBO will be the right-hand side set of figures in panel 3 as shown in the red box below. These figures will be the ones displayed and used by QBO.
At the end of the export process, you will get a confirmation on screen that the export has been successful. The bills will then disappear from the Signed Off tab, and they will get filed automatically in your invitbox Filing Cabinet.
Some things to note -
(a) After each export to QBO invitbox will automatically check for any new Supplier Cards that you have created in QBO that are not currently in invitbox and import them to invitbox accordingly.
QBO allows for 2 types of import that we will call
Item (bills that contain an item that already exists in QBO’s Products and Services), and
Service (bills that do not).
For the moment, invitbox exports all bills to QBO as Service bills. What this means is that even if invitbox extracts product codes, quantities and unit prices, it will simply send to QBO the total value of the row, and the description of the item, as shown in the example below of a Australia on a Plate bill.
Functionality will follow in 2014 allowing invitbox to export product codes and quantities to QBO.
(b) When viewing the bill in QBO you will notice a link address in the Memo field. This is the link to the image of the bill inside invitbox. You will be able to cut and paste this link into a web-browser to see the original bill provided your invitbox user profile gives you permission to do so.
(c) invitbox does not export a PO number to QBO. This is due the QBO API does not currently allow us to do so.
