When will Invitbox be shutting down?
Invitbox will shut down by 31st December 2018.
Can I still use invitbox through to then?
Yes, absolutely. The team is here to make sure that you can continue to use invitbox, right through to 31st Dec 2018 if you wish.
Why is Intuit shutting down Invitbox?
This decision enables Intuit to focus on its core mission of helping small businesses prosper, while ensuring that Invitbox customers are able to receive a great product experience moving forward
What are my options at shutdown?
- MIGRATE your files to lightyear.cloud (and keep using Lightyear in the same way you have been using invitbox), or
- Use the lightyear.cloud FILINGCABINET option (but not use Lightyear to process any further bills moving forward), or
- DOWNLOAD your invitbox files.
How long will we have to take action i.e. to choose whether to MIGRATE, move to FILING CABINET or DOWNLOAD?
Shutdown of Invitbox will complete by midnight 31st January 2019, AEST. Migration to Lightyear will be available from mid-August through to 31st December 2018. Whilst aspects of invitbox will be running through January 2019, you must choose to either MIGRATE to Lightyear, use Lightyear's FILINGCABINET or ask for a DOWNLOAD of your files by 31st December 2018.
What happens if I don’t take action in time?
If you do not take action by 31st December 2018, your data will be permanently deleted from Invitbox servers.
How long will the invitbox URLs (that have been sent to my accounting and inventory systems) continue to point to a copy of my bill?
Invitbox URLs will point to a copy of your bill until 30th September 2019, after which time your bills will need to be searched for in the Lightyear filing cabinet, or via the downloaded files (if you have chosen the DOWNLOAD option)

When will I be able to MIGRATE, move my FILING CABINET or DOWNLOAD?
Functionality is available NOW, and has been available for a number of months.
How do I cancel my Invitbox payment plan?
Invitbox payments are made via PayPal, and you can log into PayPal and cancel your plan at any time.
However, once you choose either of the MIGRATE, FILINGCABINET or DOWNLOAD options, invitbox staff will manually cancel your PayPal recurring monthly plan for you (if you have one set up).
If you do not cancel your PayPal plan yourself, or if you do not choose either of the 3 shutdown options, invitbox staff will still cancel your PayPal plans on the 1st January 2019.

What does MIGRATION to Lightyear actually mean?

Will I be able to migrate multiple Invitbox accounts at once?
If you operate a parent/child structure, yes - you will be able to migrate (or otherwise) all your accounts in one step
Do you have any more information about Lightyear?
Is there any functionality in Invitbox that will not be in Lightyear?
Generally speaking, the functionality and workflows from Invitbox will be available in Lightyear.
Will Lightyear connect to my current accounting software?
Mostly, yes. Lightyear will connect through to all of the accounting software that Invitbox currently connects through to, with the exception of Saasu and Reckon.
All the features that you enjoy with your current accounting software connectivity will be available in Lightyear.
All the current settings that you have selected in invitbox will be copied across to Lightyear for you.
All the GL Codes, Supplier Cards, Locations, Departments, Categories, Classes etc will be copied across to Lightyear for you.
After migration (and one time only), you will be asked to login to your accounting software from your Lightyear account in order to establish a connection between the two systems.
Will my users need to set new passwords in Lightyear?
Yes, Invitbox user's passwords are encrypted (so they cannot be copied to Lightyear), so they will need to set new passwords in Lightyear.
Can I use this opportunity (prior to migration) to clean up and delete old users?
Yes. Before you migrate, it would be a good idea to delete any old users in Invitbox. Details of how you can do this can be found here.
How long will the redirect of emails from @invitbox.com to @lightyear.cloud stay in place for?
If you choose to MIGRATE to Lightyear, any emails that are sent to your old @invitbox.com account will automatically be redirected to your new @lightyear.cloud account until 30th September 2019. During this time, inside of Lightyear we will flag to you any emails from suppliers that are still sending to your old @invitbox.com account, allowing you to ask them to change where your bills are sent to. Whilst redirects will be in place, we strongly advise you to ask your suppliers to send your bills directly to your new Lightyear account as soon as possible. Bills sent directly to your Lightyear account will be processed quicker than those bills redirected from invitbox.
Will Lightyear provide email templates that we can use to notify staff and suppliers of our new @Lightyear.cloud email address?
Will Lightyear let my suppliers know for me?
Unfortunately, not. Instructions to your suppliers need to come from you as they will not accept third-party instruction due to privacy considerations.
How do I get trained on Lightyear?
If you know how to use Invitbox, you should not require any new training on Lightyear, but we have prepared this short introductory video to show you the differences between invitbox and Lightyear. Lightyear also has an extensive help and support section, which can be found here.
Will Lightyear still partner with Intuit & Quickbooks?
Yes, Lightyear will be an add-on partner in the Intuit Quickbooks Online app ecosystem after invitbox closes down, in the same way as Lightyear will connect and partner with a number of other accountancy software and ERP companies. Lightyear is an independent company.
Will payment plans, and options be the same in Lightyear?
Yes, Lightyear will honour the pricing plans and bands that you are on now, and will even offer a few extra bands for you to choose from.
Will payment methods be the same?
No, Invitbox payments were made via manual PayPal transfer. Lightyear will provide a more automated solution and process payments via Stripe as their merchant processor and accept payments via Credit Card/Debit Card/Amex. If you wish to pay by EFT, Lightyear can accommodate this.
What about any unused credits that I have in Invitbox when I migrate?
When you move to Lightyear, any unused credits that you had in Invitbox will be immediately available for you to use in Lightyear. In Lightyear, you will be asked to set up a new payment plan option, but apart from that, everything remains the same.
Will I still be able to use parent/child payment options?
Yes, the options and structure you used in Invitbox will be carried through to Lightyear.
Where will my data be stored?
As a cloud product, Lightyear is hosted on Amazon Web Services (AWS), based in the location that Lightyear considers will give you the most efficient access to it. That may be in overseas jurisdictions.
How long will Lightyear store my bills for?
If you choose to MIGRATE to Lightyear, or use their FILINGCABINET option, the bills and credit notes that were processed in invitbox will be stored by Lightyear for the remainder of the regulatory period. So, by way of example, a bill stored by an Australian company from FY14 will be deleted at the end of FY21.
Supplier statements (which you have filed in your invitbox filingcabinet) will be stored for a maximum of one year.
- For Australia, 7 years from the end of your financial year, so no more than 8 years
- For New Zealand, 7 years from the end of your financial year, so no more than 8 years.
- United Kingdom, 5 years from the end of your financial year, so no more than 6 years.
