The MIGRATE option

PLEASE READ THE FOLLOWING VERY CAREFULLY.
A reminder for Parent Accounts
If you are the Parent of one or more child accounts, please remember that you are taking this action on behalf of both yourself (the Parent) and all of your Child accounts. This action cannot be reversed, so please ensure that this action is right for you, and for them. Further information as to what this means can be found on the previous page here.
In summary, with this MIGRATE option
- All of your invitbox data and files, history, notes, GL Codes, mapping rules, user profiles and roles, settings, groups, price-lists etc will copy across to Lightyear, and within a few minutes you will be able to continue using Lightyear much in the same way as you have been using invitbox.
- Your @invitbox.com account name will automatically become your @lightyear.cloud account name. So firstname.lastname@example.org will become email@example.com. Behind the scenes, we’ll redirect all the emails that are going to your @invitbox.com email address/es to new @lightyear.cloud email address/es. This redirect will remain active through to 30th September 2019 to ensure ample time to contact your suppliers and change the email address.
- Any credits that you had remaining in Invitbox will be honoured by Lightyear.
- Invitbox staff will cancel any PayPal plans you may have for invitbox on your behalf. At a later time, you can set up a new payment plan in Lightyear to allow you to continue processing bills and exporting in Lightyear.
You will trigger this MIGRATE option from within invitbox, and then you will be asked to check a box confirming that you understand what is about to happen, before the migration begins.
As soon as you do so, the ability for you (and your Child accounts) to approve, edit and process bills in invitbox will immediately stop, so please advise your staff and Child accounts of this before triggering the process. A draft communication for your staff can be found here, but please remember not to ask any suppliers to send bills to your new @lightyear.cloud accounts until migration is complete.
Immediately, your @invitbox.com mailboxes will be redirected to your new @lightyear.cloud one/s.
Behind the scenes, as soon as you choose to migrate, Lightyear will start copying your files and settings across from invitbox. Your settings will come across first, followed by your bills. It is hard to estimate just how long the complete migration process will take - it could be anything between 1 and 96 hours, depending on how many other users are migrating at that time.
As soon as the settings have migrated across, Lightyear will send all of your account Admins email invitations, asking them to set a password, and log into Lightyear. As soon as one of your Admins logs into Lightyear, they can go to the Users tab of your account (and child accounts if you have any). There they will find a list of all of the non-Admin users that were copied across from invitbox, and you can invite them to Lightyear from there.
As soon as they log into Lightyear, everything will be where they left it in invitbox, and they will have the same roles and permissions as before.
After settings, Lightyear will start copying across your files. Migration of the bills that have not as yet been processed/exported will appear first, followed by bills already in your filingcabinet. Depending on the number of bills you have in your filing cabinet, and the number of other companies migrating at that time, complete migration might take a number of hours, or it could take as much as 4 days.
When you can process bills
As soon as you see a bill image in Lightyear, you will be able to process the bill. Please do not attempt to process a bill before you see the image of the bill.
Mail redirect from invitbox
Any mail that was being sent to your invitbox account/s will be redirected to your Lightyear.cloud accounts. Only after migration do we suggest communicating with your suppliers to let them know that any bills that were being sent to your @invitbox.com email addresses should now be sent to your new @lightyear.cloud email addresses.
